How to Prepare Job Application Documents
A well-organised application makes it easier for a recruiter to confirm that you meet the advertised requirements. Always follow the vacancy’s instructions because employers do not all request the same documents.
Your application checklist
- A CV tailored to the position.
- A cover letter when requested.
- The correct application form, such as a Z83 for an applicable government post.
- Qualification records or copies when requested.
- A clear identity-document copy when required.
- Driver’s licence or professional registration where relevant.
- Portfolio or work samples for suitable roles.
- Contactable references who have agreed to assist.
Match the vacancy requirements
Read the duties, minimum qualification, experience, location and closing date. Create a simple list of every requested attachment. Your CV should use truthful examples that demonstrate the important skills in the advert. Do not claim experience you do not have.
Prepare clear digital files
Scan pages so that text is readable and correctly oriented. Use ordinary file names such as Thabo-Monye-CV.pdf and Thabo-Monye-Qualifications.pdf. Avoid names such as “scan001” because recruiters cannot easily identify them. Use PDF unless the advert requests another format, and check the total attachment size before sending.
Certified copies
Only provide certified copies when requested, and check whether the advert states how recently certification must have been completed. Requirements may differ between employers and recruitment stages. Never alter certification marks.
Email applications
Use the required reference number in the subject line. Write a short professional message naming the vacancy and attachments. Send from an address you check regularly, then confirm that the correct files were attached. Keep the sent email and advert.
Online applications
Create your account on the official recruitment portal, use a strong unique password and complete every required field. Do not assume that uploading a CV automatically completes the rest of the form. Save the confirmation or reference number.
Final review
Check spelling, dates, contact details, attachment names, the reference number and deadline. Open every attached file before submitting. A few careful minutes can prevent an otherwise strong application from being excluded.
