How to Write a Professional Cover Letter in South Africa
Published by AccessSA | Updated 19 August 2026
A professional cover letter can help your job application stand out. While your CV lists your qualifications, skills and experience, your cover letter explains why you are interested in the position and why you may be a suitable candidate.
What is the purpose of a cover letter?
A cover letter introduces you to the employer and connects your qualifications and experience to the advertised position.
A good cover letter should answer three important questions:
- Which position are you applying for?
- Why are you interested in the opportunity?
- What qualifications, skills or experience make you suitable?
Your cover letter should not repeat everything written in your CV. It should highlight the information that is most relevant to the vacancy.
1. Research the employer
Before writing your letter, learn about the employer. Visit the organisation’s official website and read about its services, work and values.
This will help you explain why you want to work for that particular organisation instead of sending a generic letter to every employer.
2. Add your contact details
Place your contact information at the top of the cover letter. Include:
- Your full name and surname
- Your mobile number
- Your professional email address
- Your town or city and province
- The application date
Do not include sensitive information such as banking details, account passwords or your full identity number.
3. Include the employer’s details
If the information is available, include the hiring manager’s name, job title, organisation and address.
If you do not know the hiring manager’s name, you can use:
4. Use a clear subject line
The subject line should identify the job and its reference number when one is included in the advertisement.

5. Write a strong opening paragraph
Your opening paragraph should state the position you are applying for, where you found it and one reason you may be suitable.
I am writing to apply for the Administrative Assistant position advertised on your company’s careers page. With three years of administrative and customer-service experience, I believe I can provide reliable support to your team.
6. Explain why you are suitable
Connect your qualifications, experience and skills to the requirements in the advertisement. Select two or three relevant strengths and support them with short examples.
In my previous position, I maintained electronic and paper filing systems, prepared reports and responded to customer enquiries. I am comfortable using Microsoft Word, Excel and email, and I have developed strong organisational and communication skills.
If you have limited work experience, discuss your education, practical training, volunteer work, community involvement or school leadership.
7. Explain why you want to join the organisation
Show that you understand the organisation and explain why its work or the opportunity interests you.
I am interested in joining your organisation because of its commitment to improving access to community services. I would welcome the opportunity to contribute my administrative abilities while continuing to develop professionally.
8. End with a professional closing
Thank the employer for considering your application and express your interest in an interview.
Thank you for considering my application. I would appreciate the opportunity to discuss how my skills and experience could contribute to your organisation. I am available for an interview at your convenience.
End the letter with:
Yours sincerely
Your full name
9. Keep your cover letter concise
Your cover letter should normally fit on one page. Use short paragraphs, clear sentences and a readable font such as Arial, Calibri or Times New Roman.
Avoid excessive colours, decorative graphics, emojis and informal language.
10. Tailor it to each application
Do not send exactly the same cover letter for every vacancy. Read the advertisement and adjust your letter to emphasise the qualifications, skills and experience that match the position.
Never claim to have experience or qualifications you do not possess.
